Bring the problem you want solved. We’ll shape it into a project brief you can keep — or let AI draft a first approach.
A RAG document assistant for pharma SOPs should retrieve the approved procedure a reviewer is allowed to see, identify its version and show the passage supporting each answer. Retrieval-augmented generation does not make an assistant hallucination-free. Treat unsupported answers, stale revisions and access leaks as explicit failure cases.
This is a proposed architecture for a scoped project, not a validated product or a report of customer performance. Start with pharma AI and document assistants when defining the workflow.
Inventory the controlled sources before selecting a model. For each SOP, retain its identifier, revision, effective date, approval status, owner and permitted groups. Decide whether historical revisions may be retrieved for historical investigations. A current-procedure question and a question about a past batch can legitimately need different versions.
Keep ingestion separate from approval. An uploaded PDF is not automatically an approved source. Quarantine unreadable scans, missing metadata and conflicting revision identifiers for review. Preserve the original file and a reproducible relationship between its pages, extracted text and searchable chunks.
Authenticate the reviewer and resolve their document permissions on the server. Apply access filters before candidate text reaches a reranker or language model. Recheck the returned source identifiers before sending the response. Caches, conversation history and downloadable citations need the same boundary.
An access-controlled screen alone is insufficient: a backend that searches every document can expose restricted information through an answer. Test a user who cannot read a document, including follow-up questions that reference an earlier session.
Store page and section identifiers alongside each chunk. Ask the assistant to associate factual claims with source passages, then verify that each cited identifier belongs to the authorized retrieval set. Show the document title, revision and quoted passage beside the answer so the reviewer can inspect support.
A valid citation identifier does not prove that its text supports the claim. Add evaluation cases where a related paragraph discusses a different material, strength or site. When evidence is absent or contradictory, return an explicit inability to answer and a route to a document owner. Do not let the model invent a missing operating instruction.
For private enterprise RAG development, map every processor: OCR, embeddings, reranking, generation, logging, backups and monitoring. A locally hosted model does not make the whole pipeline private if documents leave the network for OCR or embeddings.
On-premise Linux and Docker can provide a reproducible deployment boundary. An air-gapped installation also needs offline model distribution, dependency updates, vulnerability review, backup restoration and a controlled process for importing approved documents. Agree hardware capacity and support responsibilities before choosing this option.
Build a reviewed question set covering ordinary SOP lookup, obsolete versions, ambiguous abbreviations, missing answers, restricted sources and instructions embedded in documents. Retrieved text is evidence, not an instruction to change the assistant's rules. Record which approved passage should be found and what an acceptable refusal looks like.
Measure retrieval of the intended revision, claim support, citation accuracy, unauthorized disclosures and appropriate refusals separately. Agree acceptance thresholds with the quality owner. Preserve evaluation inputs and results for the tested release; repeat relevant cases after a model, parser, chunking rule or permission change.
Limit the initial assistant to information retrieval. Root-cause conclusions, CAPA approval and batch release require defined authority and review. If draft generation is included, label the output and retain its sources until a person accepts or corrects it.
FDA's Part 11 scope and application guidance is a starting point for assessing electronic-record applicability. Your quality team must define intended use and the evidence required for the actual system.
List document formats, approximate volume, revision rules, roles, hosting restrictions and the questions reviewers need answered. Start with one controlled collection and a named owner. Explore document control if approval and revision metadata need attention first.
